Mindgruve is seeking a Production Coordinator to assist with job coordination & scheduling, working diligently to keep all functions of the team and clients informed. Production Coordinators maintain positive internal and external relations, performing a variety of administrative tasks needed to implement and follow consistent best practices for pre, post and on-site production (work orders, scheduling, etc.). Production Coordinators ensure timeliness of all aspects of production and collaboration throughout interdepartmental teams, helping to maximize the overall experience before, during and after the productions are completed. This role is responsible for ensuring that communication is open and smooth between all stakeholders involved in production, to facilitate and maximize every part of the production process.

What You'll Do Here:

  • Coordinate and produce in-house and external stills and video shoots from conception to production; through editorial (if needed) for socials, print and/or broadcast.
  • Assist in all pre-production tasks including (but not limited to) checking crew/talent availability, administering paperwork such as deal memos, insurance certificates, call sheets, etc.
  • Coordinate all internal production (shoot) and post-production workflow between Creative and Production teams.
  • Maintain project assignments; ownership of who is assigned to what project, due dates, etc.
  • Input and track deliverables, ensuring deadlines are met.
  • Participate in all creative and production meetings.
  • Track project expenses.
  • Check invoices for accuracy of production charges and credits.
  • Oversee Production WIP reports from each vendor; communicat effectively with team regarding project status.
  • Ensure contracts, permits and agreements are in place pre-production and filed on completion of projects.
  • Perform other job-related duties as assigned.
  • Possess the ability to oversee postproduction projects, ensuring timely deadline delivery.

We Need a Person With:

  • 2-3 years of experience in production environment, preferably in a production assistant capacity.
  • Prior experience in entertainment/creative services/production preferred.
  • Strong working knowledge of Microsoft Excel, Google Slides, and Google Share Docs.
  • Strong organization and communication skills, with a proactive approach to communicating changing needs and deadlines.
  • Proactiveness and possess the ability to pivot with changing project scope(s) and moving deadlines.
  • The ability to effectively prioritize projects.
  • The ability to communicate effectively and tactfully with all levels of personnel in person, video calls and email.
  • The ability to dedicate time needed to manage heavy workload.
  • Knowledge and experience in the production environment.
  • Critical thinking and problem-solving skills.

Compensation will be commensurate with experience.
